Missed the Final Quarterly Super Payment? What Physio Clinics Should Do Now

The ATO has reminded employers that the final quarterly super payment was due on 28 July.

If your physio clinic missed it, do not ignore it.

A late super payment can turn into extra paperwork, extra cost, and stress. It can also show that your payroll system is not ready for faster super payments.

First, check if the payment was received

Do not only check that the money left the bank.

Check that the super fund received it.

A payment can fail because:

  • a staff member has the wrong fund details
  • a new worker has missing details
  • the clearing house has an error
  • the payment was sent after the cut-off time
  • the amount does not match payroll records

For a clinic, this could be one receptionist, one part-time physio, or a casual weekend worker. Small errors still matter.

Make a list of who was affected

Open your payroll report for the quarter.

List each worker who should have received super.

Check:

  • ordinary time earnings
  • super amount
  • pay period
  • payment date
  • payment status
  • any failed or returned amount

Keep this list simple. You need to know who was paid, who was not paid, and what still needs action.

Do not hide a late payment in the next run

It may feel easy to fix a missed payment by adding it to the next pay run.

That can make the records messy.

Keep the missed quarterly payment clear. Record what period it belongs to. Record when it was paid. Keep any messages from the super fund or clearing house.

Your accountant needs a clean trail.

Watch the cash flow warning

A missed super payment is often a cash flow warning.

It may mean the clinic used money for rent, wages, supplies, or loan payments before super was paid.

That habit is risky.

Super is part of the true cost of wages. When your clinic pays staff, set aside the super at the same time.

Ask this before each pay run:

“Can the clinic pay wages and the super that goes with them?”

If the answer is no, the pay run is telling you something.

Use this as a payroll clean-up point

This is a good time to clean up the payroll file.

Check:

  • staff names
  • tax file numbers
  • super fund details
  • employment type
  • pay categories
  • ordinary time earnings
  • contractor records
  • clearing house settings

Do not wait until the next problem. Fix the basic data now.

What to do this week

If the 28 July super payment was missed or late, take action now.

Check the payment status. List any affected staff. Keep clear records. Ask your accountant what form or process is needed.

Then look forward. Make sure the next pay run has wages and super planned together.

That is the best way to stop one late payment becoming a pattern.
